Heidi integration

TMPlanner imports your consult notes from Heidi, a consult scribe. On a patient's Notes tab, a button opens the Heidi notes waiting to be filed.

What it does

Heidi notes come in when you sync. Open the scribe notes in the console, select Sync Heidi now, and TMPlanner fetches any new notes with your clinic's API key. It reads from Heidi and writes nothing back.

You choose the patient

You choose which patient each Heidi note belongs to. A note is never matched to a patient automatically. Attach it to a patient's notes and it becomes their session note.

From note to draft

Filing a note sends nothing to the AI provider. AI reads the note only when you ask TMPlanner to tidy it or draft from it, and then it drafts the note and home program. The draft is a draft: you review every field and approve before anything reaches a patient.

Note text or audio a clinician submits is processed by our cloud provider, Google Cloud, and may be processed outside Australia. Google keeps a copy only if its automated safety checks flag the request, for up to 90 days, and does not use it to train its models. The security page has the details.

Your data

A clinic's connection to Heidi is under the clinic's own agreement with Heidi. We are not responsible for a third-party provider's service or handling of data. See section 9 of our terms and our privacy policy.

Setting it up

  1. A clinic admin opens Clinic admin in the console, then Scribe connections, and chooses Heidi Health.
  2. Enter your Heidi API key and select Connect scribe. The key is sent once and stored server side.

Only a clinic admin can connect or disconnect Heidi. Disconnecting deletes the key TMPlanner stored. Revoke it in Heidi too.

Questions clinics ask

Does TMPlanner use AI?

Yes, when a clinician uses it. When you dictate or record a consult, AI transcribes it; when you paste or import a note, AI reads it. Either way it drafts the note and home program. Nothing is sent to the AI provider until you do one of those. The draft is a draft: you review every field and approve before anything reaches a patient. The only change that happens without a clinician acting at the time is a step back you pre-approved.

Where is patient data stored?

Patient records are stored in an Australian cloud region in Sydney. Access is isolated per clinic: patients see only their own data, and clinicians see only their own clinic's patients. If a clinician uses AI note structuring, the note text they submit is processed outside Australia. The security page has the details.
