Your information in TMPlanner
TMPlanner is software your physio uses to plan and deliver your rehab program. This page explains what it holds about you, why, where it goes and what you can do about it. The full privacy policy has more detail.
Who is responsible
Your clinic chose TMPlanner and is responsible for your treatment and your clinical record. TMPlanner holds that record on your clinic's behalf and uses it only to run the service. Your clinic enters most of this information; you add what you record in the app. TMPlanner is operated by BR Digital Pty Ltd (ABN 12 702 517 253), trading as TMPlanner; you can email us at hello@tmplanner.app. If you have a question about your care or your record, ask your clinic first.
What we hold about you
- Your name, year of birth and the programme code your clinic gave you.
- Your mobile number or email address, if your clinic sends your plan link that way. Exercise reminders are set on your phone and are never sent by email or text.
- Your program and the notes your physio writes about you, including notes drafted from your physio's dictation or from a recorded consult. A consult is recorded only if you agree at the time.
- What you record in the app: sessions completed, pain and discomfort entries, feedback and any messages to your clinic.
- Any exercise video your physio records for you personally.
- Your answers to any outcome questionnaire your clinic asks you to complete, and any education material your physio assigns to you.
- Your next appointment time, if your clinic connects its booking system, and a device token the app registers for notifications.
If you choose not to use the app, your clinic can still treat you and give you your program another way. Without your name and year of birth we cannot create your account.
Why we hold it
To deliver your program, let your clinic see how you are going, send you plan links and notifications, and keep the record your clinic must keep under the law and professional standards that apply to it. We do not sell your information and we do not use it for advertising.
Where it is stored and processed
Your records are stored in an Australian cloud region in Sydney. Some processing happens outside Australia:
- If your physio uses AI note structuring, the text of your physio's notes, dictation or consult recording is processed by Google Cloud, which may use any country where it operates. It is used only to produce a draft for your physio to review. Google keeps a copy only if its automated safety checks flag the request, for up to 90 days, and does not use it to train its models. TMPlanner does not keep the audio.
- Your sign-in details (with no health information) are held by Google's authentication service in the United States.
- Plan links sent by email go through Resend, in Japan, and by text message through Twilio, in the United States. The message carries your name, your clinic's and physio's names, the plan link and a sign-in code, never your clinical record.
- Exercise demonstration videos are played from YouTube, in the United States. YouTube receives your device's network address and which videos were prescribed, never your name.
- If your clinic uses a consult scribe (Heidi or Lyrebird) or practice software (Cliniko), information flows to and from that provider under your clinic's own agreement with it.
Who decides about your program
Your physio does. A computer program contributes in these ways:
- If you record pain of 7 or more out of 10, the app shows you the pain diary and the contact-your-physio prompt your physio wrote.
- If your physio has approved it in advance, you can choose to step an exercise back a level. The app applies it within the limits your physio set and tells your physio, who can undo it. This is the only change that happens without your physio acting at the time.
- AI drafts program content for your physio to review. Nothing reaches you until a clinician has approved it.
- Scores shown to your physio are computed from what you record. The app never shows you a score.
TMPlanner does not diagnose, give medical advice or replace your physio.
Your choices
- You can say no to having a consult recorded.
- You can ask your clinic to correct your information, or contact us and we will work through it with you.
- You can delete your TMPlanner account from the app's Settings. This removes your login and contact details. Your clinic keeps your clinical record as the law and professional standards require.
- If you think we have mishandled your information, contact us and we will respond within 30 days. You can also complain to the Office of the Australian Information Commissioner at oaic.gov.au.
If you are under 18
A parent or guardian should read this notice with you. Your clinic is responsible for getting their consent to your treatment and to your use of the app, unless your physio assesses that you can decide for yourself.
Not for emergencies
If you need urgent help, call 000 or go to your nearest emergency department.
